Amazon Biodiversity Expeditions
Terms & Conditions

Accommodations and food

  • Alliance for a Sustainable Amazon (ASA) will provide all meals during the period of the Expedition in Peru, starting with dinner on the first day of the Expedtion. Meals in Puerto Maldonado are not provided by ASA.

  • Expedition participants are required to supply their own camping equipment, including tents, for the entire duration of the expedtion. The ASA will not provide any such equipment. The ASA will provide a bed in a shared room for each participant at Finca Las Piedras before and after the period spent in the field.

 

Insurance

  • All Expedition participants are required to obtain their own travel and medical insurance in their country of residence which covers them while in Peru.

  • The ASA is not responsible for the cost of any health or medical services for expedition participants resulting from incidents occurring before, during or after an expedition, nor for the cost of health or medical services required during an expedition resulting from underlying or preexisting health conditions. All health- and medical-related costs are to be paid by the expedition participant, including transportation to and from medical facilities and/or repatriation travel.

  • All participants must provide the ASA with proof of travel and medical insurance. We will not accept any participants that have not provided us with this information.

Cancellations

  • Participants may cancel their participation in the Amazon Biodiversity Expedition and receive a full refund (minus processing/bank fees) up to 03 days before the start of the Expedition, for any reason. All cancellations must be submitted in writing by email to: info@sustainableamazon.org

  • If the Alliance for a Sustainable Amazon has to cancel the Expedition for which you have registered and/or paid for (either partially or in full) up to 01 day before the Expedition start date, we will refund the total amount of fees paid directly to us, minus processing/bank fees.

  • Processing/bank fees include fees charged by our financial institution for domestic (e.g., ACH transfers) or international (e.g., wire) transactions. These fees vary by amount transferred, destination country and recipient's financial institution.

  • If the Alliance for a Sustainable Amazon has to cancel an Expedition on or after its start date, no refund (either partial or full) will be given to affected participants, for any reason.

  • The Alliance for a Sustainable Amazon is not responsible for non-refundable airline or other tickets, or payments or penalties from any third parties that may be incurred as a result of a program cancellation, for any reason.

Responsibility

  • Your registration in an ASA program is accepted on the understanding that you participate in the program entirely at your own risk. We are not responsible for any injury, damage, loss, or accident that you may suffer while conducting activities related to your program for any reason.

  • ASA is not liable for any injury, damage, loss, accident, delay, or any other irregularity caused by a third party.

  • We reserve the right to decline to accept any person as a participant in any of our programs, or to require a participant to withdraw from a program at any time, when such action is determined by the appropriate ASA representative to be in the best interest of the health, safety, and general welfare of the program or of the individual participant. In such a case, we accept no responsibility for any airline cancellation penalty incurred by the purchase of a non-refundable ticket or any other cost that you may incur. No refunds, either partial or in full, will be given in such circumstances.

  • We will provide you with all reasonable assistance to obtain visas, visa renewals, and work permits when they are needed. However, please note that these are arrangements between you, as an individual, and a state, and are not under our control.

Complaints and Disciplinary Procedures

  • If you have a complaint about the procedures prior to your arrival, contact our main office at +1 (443) 445-0994 (EST) during regular office hours or write to us at: info@sustainableamazon.org

  • During the Expedtion, we strongly recommend that you reach out to your immediate supervisor (Expedition Leader) with any problems or complaints. If the problem remains unsolved, or is not solved to your satisfaction, contact the ASA Director in Peru at +51 981-699-368.

  • We will make every reasonable effort to resolve any disciplinary issue the best and fairest way possible. However, it is important that you know that if the problem gets serious, we reserve the right to take appropriate action, including dismissal from the Expedition.

  • Inappropriate behavior includes rowdiness or drunkenness, failure to turn up to field work, and verbal, physical, and sexual abuse or violence directed towards ASA faculty or staff, other Expedition participants, or members of our community in Peru.

  • Your immediate supervisor will attempt to address any disciplinary problems in a timely fashion. If the matter is not resolved to our satisfaction within 3 days (or shorter if needed), you may be dismissed from the Program as soon as repatriation arrangements can be made. All costs related to this early departure will be your responsibility.

  • If you are dismissed for disciplinary issues from the Expedition, or if you leave on your own accord, you will be responsible for all associated costs, including transportation to Puerto Maldonado or elsewhere. The ASA assumes no responsibility for these costs.​
